Operator help
Step-by-step answers for event setup, participant support, race-day corrections, exports, and UAT feedback.

How do I create and publish an event?
- Sign in as an admin with event management permission.
- Open Create event and save the event as a draft.
- Add category, price, capacity, distance, and default wave/start group.
- Add active registration consent, privacy policy, terms wording, and waiver wording.
- Publish only after checking the public event page.
How do I remove an event from public registration?
- Open Admin > Events.
- Select the event and open its edit screen.
- Use Unpublish event when you want to hide it temporarily and keep the setup editable.
- Use Archive event when the event is retired and should no longer accept public entries.
- Confirm the action only when you are sure public entries should stop.
How do I share a registration link for a customer event?
- Open Admin > Events.
- Find the event and confirm its status is Published.
- Use Copy registration link beside the event, or open the event edit screen and copy the Customer registration link.
- Send that link to the customer or add it to their upcoming-events page.
- If the copy button is disabled, finish category, consent, waiver, and publish readiness first.
How do I find a participant?
- Open Admin > Participants.
- Search by event, name, email, or club.
- Open the registration detail link for the correct participant.
- Review registration, payment, and race-day fields before making changes.
How do I update bib, chip, or wave details?
- Open the participant registration detail page.
- Edit bib number, chip number, wave/start group, or race-day status.
- Save the race-day assignment.
- Refresh or reopen the registration detail to verify the values persisted.
How do I auto-assign bibs, chips, and waves?
- Open Admin > Exports.
- Select the event with confirmed registrations.
- Enter a starting bib number and optional bib or chip prefix.
- Leave chip and wave assignment ticked unless you need a narrower run.
- Do not tick overwrite unless you deliberately want to replace manual assignments.
- Run auto-assignment, then download CSV or XLSX and inspect the output.
How should UAT feedback be collected?
- Give each tester one script from docs/testing/uat-user-test-scripts.md.
- Ask testers to use synthetic participant data only.
- Record each finding in docs/testing/uat-feedback-log-template.md.
- Treat payment, consent, waiver, permissions, sensitive data, and export issues as launch-impacting until reviewed.
